How do I use the WorldRes Hotel Administration System?

WorldRes has developed an online tutorial as a step-by-step training guide for the WorldRes Hotel Administration System. Topics include rates, availability, restrictions and changing cancellation policies.

  1. Point your browser to: https://hotel.worldres.com
  2. Enter your System Login/User Name/Password in the white boxes
  3. Click on the oval "WorldRes Tutorial"
  4. Click onto the white arrow in the green box (on the left of the text) - this takes you to an index or table of contents
  5. Choose from the Table of Contents to review a portion of the tutorial or go through the entire module

How do I sell out a day(s) in the WorldRes administration system?
  1. Point your browser to: https://hotel.worldres.com
  2. Type in your System Login, Username, and Password
  3. Under the "Other Functions" menu choose "Availability/Rates/Reports" and Click Go
  4. Choose a month and then choose availability and click GO
  5. The month's availability will display
  6. Click Sold Out Box below specific date and click Save

How do I update my current rates?
  1. Point your browser to: https://hotel.worldres.com
  2. Enter your System Login/User Name/Password in the white boxes
  3. Go to the "Other Functions" menu
  4. Scroll down to "Modify Rates - Date Range"/Click Go
  5. Type in the TO and FROM dates
  6. In the blank cells type in the rates from Sunday - Saturday
  7. Click on the Save Tab (bottom of table)
  8. Go to "select room type"
  9. Repeat steps with each room type
PLEASE NOTE: You are changing current rates with this process these will be advertised on the web. To modify future rates, dates past 365 days you must make changes to the master rate table.
  1. Go to the "Other Functions" menu
  2. Scroll down to "Master Rates"/ click Go
  3. Your master rates/default rates will appear
  4. In the cells type in the correct rates for the first room type (Sun-Sat)
  5. Click on the save tab
  6. Go to "select room type"
  7. Repeat steps for each room type

How do I add a minimum-night stay?
  1. Point your browser to: https://hotel.worldres.com
  2. Enter your System Login/User Name/Password in the white boxes
  3. Go to the "Other Functions" menu
  4. Scroll down to "Modify Rates - Date Range"/Click Go
  5. Type in the TO and FROM dates
  6. The blank table will include the restrictions: Minimum Stay & Minimum Stay-through
  7. In the blank cells next to those restrictions choose the day, and the number of days the restrictions occur
  8. Click on the Save Tab
For example:
If you type 2 in the Sunday cell next to Minimum Stay The guest must stay a minimum of 2 nights when they arrive on Sunday. But if you type 2 in the Sunday cell next to Minimum Stay-through the guest has an option of staying Sunday and Monday or Saturday and Sunday.

How do I update my email address and/or fax number in the WorldRes administration system?
  1. Point your browser to: https://hotel.worldres.com
  2. Under the "Other Functions" menu choose "Reservation Contact Information" and Click Go
  3. This screen will enable you to change your phone number, fax, or email address
  4. Now click on the SAVE tab

After receiving e-mails, log onto the WorldRes Hotel Administration System to acknowledge the reservation and view the details, including credit card numbers.

If your property receives reservation notifications in more than one location, we will send multiple e-mail notifications for each reservation. To add additional email addresses separate them with a comma and a space. You can have up to 3 email addresses stored in the system.

Please note that for security reasons, e-mail confirmations do not include credit card numbers.

Submitting Photos

How do I submit photographs of my property to WorldRes?

Please take the opportunity to enhance your Web site and information available to WorldRes customers with additional photographs. It is extremely important that all images & photos presented to customers are high quality.

Photos that can be added to your WorldRes Web site:

  • 1 exterior photo (Required)
  • 5 additional miscellaneous photos (view, pool, lobby, etc.)
  • 1 MAP

PLEASE NOTE: Do not submit more photos than outlined above. WorldRes will return all photos and ask that you only select the images that best represent your property.

To submit images as an attachment via email (.jpg):

  1. Right click ON the image (for Mac users, click and hold)
  2. Select Save Image As
  3. Navigate to appropriate source folder for storing images (This is where you want to save your image: Remember where you saved it!)
  4. Name the image so it can be easily identified (e.g. exterior.jpg, lobby.jpg)
  5. Open an email, attach the image files and email them to pictures@worldres.com if outside of North America,
  6. please send the email to pictures-eu@worldres.com

PLEASE NOTE: Please provide a detailed description of each photo (room.jpg is the Queen Deluxe). Please be sure to also include Property Name and WorldRes Property ID# (this is your WorldRes property ID number) with all photo submissions.

Guest Contact information

For New WorldRes Reservations

To obtain new guest account information, including credit card information:

  1. Point your browser to: https://hotel.worldres.com
  2. Enter your System Login/User Name/Password in the white boxes
  3. Go to the "Other Functions" menu
  4. Choose "New Reservations"
  5. Click on the blue link "view"
  6. Guest information along with their credit card information will appear on the next screen

For Existing WorldRes Reservations

To obtain existing guest account information, not found under new reservations:

  1. Point your browser to: https://hotel.worldres.com
  2. Enter your System Login/User Name/Password in the white boxes
  3. Go to the "Other Functions" menu
  4. Choose "Existing Reservations" and click Go
  5. Type in the confirmation code and click on "search" tab
  6. The guest information will now appear

PLEASE NOTE: For security purposes, credit card information is not included in fax/email confirmations. You must log into the WorldRes Reservation System to obtain this information.

For GDS (Global Distribution System) Reservations

GDS reservations includes all reservations made through our partnerships with Sabre, Galileo/Apollo, Worldspan, and Amadeus. We realize that you require guest information for registration purposes, however due to existing agreements these companies have with domestic and international partners, WorldRes is unable to provide this information at the time a reservation is made online.

If the reservation begins with SAB, GAW, WSW, or AMW you will find the travel agents contact information in the WorldRes Administration System and on the faxed and emailed copy of the online confirmation. Please call the travel agent for guest details.

If the reservation begins with TVL and you require contact information for the guest prior to their arrival, please email Travelocity at guestinformation@travelocity.com or call 888-709-5983 or 210-258-2054.

If the reservation starts with NOW and you require contact information for the guest prior to their arrival, please email reply@travelnow.com or call 800-568-1972 or 417-864-3600. Please provide the following information: hotel name and phone number, guest name, arrival date, Travel Agency Reservation Code shown above, and requested information.

Finding Reservations

Why didn't WorldRes send a fax and/or an email for a reservation?

When a guest books and confirms an online reservation for your property the online booking engine automatically generates an email and fax to your property if you have both an email and fax listed in the WorldRes system. Please keep in mind, that although a fax and email are sent to your property the WorldRes Administration System should always be used as your PRIMARY method to pick-up and acknowledge your newly confirmed online reservations and is absolutely your most reliable resource to do so.

You at the property have access to the WorldRes Administration System 24 hours a day. The faxes and emails are simply sent out as a back-up courtesy.

To update your current contact information:

  1. Point your browser to: https://hotel.worldres.com
  2. Type in your System Login, Username, and Password
  3. Under the "Other Functions" menu choose "Reservation Contact Information" and Click Go
  4. That Screen will enable you to change your phone number, fax, or email address.
  5. Click on the SAVE tab
